Assistant Facilities Manager (FTC)

About the role

JLL is looking for an Assistant Facilities Manager for its Integrated Facility Management business line in Tampere. The role reports to the Facilities Manager and works as part of the overall Facilities Team, managing soft services and supporting the efficient running of the site. It is a fixed-term position of 18 months, based on site in Tampere.

Key responsibilities

• Manage the team providing first-line soft services such as reception, mail operations, meetings and events, cleaning, waste and recycling, vending and food services
• Maintain office equipment and supplies
• Keep regular contact with vendors, reporting issues, recommendations and cost estimates
• Walk regularly with the vendor cleaning manager to check cleaning quality standards
• Handle trouble ticket (remedy) requests and act on them promptly in line with service level agreements
• Manage daily health and safety issues, including scheduled meetings and records for fire teams, drills, safety equipment and training
• Support travel and visitors by liaising with locally approved hotels and informing staff
• Help organise client events and manage the quality of conferencing and food and kitchen facilities
• Raise purchase orders and manage site communication channels
• Depute for the Building Operations Coordinator or Facilities Manager when needed

Required profile

• Knowledge of the Facilities/Office Services Coordinator role
• Previous experience in a high-profile corporate environment
• Previous reception or hospitality experience
• Diploma or degree level education
